When Alex is uncertain about a factual claim, it says so explicitly rather
than generating plausible-sounding language. Accuracy > confidence.
What Alex doesn't do
- Contact customers directly. All customer-facing communication — emails, Slack messages, renewal outreach — is drafted by Alex and sent by the human rep. This is enforced in CLAUDE.md, not just as policy.
- Change deal stage, contract value, or close date. These writes require explicit human approval. Alex proposes; the rep decides and confirms before Salesforce is updated.
- Make renewal or expansion pricing decisions. Alex surfaces renewal risk and suggests plays. The human CSM and VP of CS own the commercial conversation and the terms.
- Do churn prediction modeling. Alex reads your existing health scores; it doesn't build ML models. If you want predictive churn scoring, that's a separate analytics initiative (your data science team or a tool like Gainsight PX). Alex consumes the outputs.
- Replace the QBR conversation. Alex drafts the deck. The CSM still runs the meeting, addresses strategic questions, and drives the renewal or expansion conversation live. The draft is input, not the output.
- Schedule meetings with customers. Alex can draft a meeting request for the rep to send, but it doesn't put time on customer calendars directly.
Getting Alex's communication tone right
The most common complaint when teams first deploy an AI account manager: the drafts are too formal, too long, or miss the rep's personal voice. Two things fix this faster than anything else:
- Feed Alex your best examples, not average ones. Find the 5 best follow-up emails your top CSM has sent in the last 6 months. Find the QBR section the VP CS praised most recently. - Write anti-patterns explicitly in CLAUDE.md. "Never use 'I hope this email finds you well.' Never write a follow-up email longer than 200 words. After 1-2 weeks of reviewing and editing Alex's drafts, the calibration settles. From that point, most reps report editing for substance — strategic nuances, account-specific context — not voice. The voice becomes reliable in the first 10 business days.
